Privacy Policy

This policy explains how ScholarBridge collects, uses, shares, and protects personal information, and the rights you have over it. Because we are a United States company that works with families in the United States, the United Kingdom, and other countries, and because we work with students under 18, this policy is written to meet recognised standards in both the US and the UK.

1. Who we are

ScholarBridge LLC is a limited liability company registered in Wyoming, United States, operating at scholarbridge.uk. For the purposes of applicable data-protection law, ScholarBridge LLC is the controller of the personal information described here. You can reach us at hello@scholarbridge.uk.

2. Students under 18

Our programmes are designed for students aged 14–18, and safeguarding their information matters to us. Where a student is under 18, we expect a parent or legal guardian to be involved: applications name a parent or guardian, and we rely on that adult's consent for the collection and use of the student's information. We do not knowingly collect personal information from a child under 13 without verifiable parental consent, consistent with the US Children's Online Privacy Protection Act, and where the UK or EU rules apply we obtain parental consent for children below the applicable age of digital consent. A parent or guardian may review, correct, or ask us to delete their child's information at any time by contacting us. Related expectations are set out in our Safeguarding & Child Protection Policy.

3. What information we collect

When you contact us or apply through this website, we may collect:

  • Enquiry details: your email address and your role as a student, parent, guardian, or counsellor.
  • Application details: the student's name, year group or academic stage, school, country, subject interests, programme preferences, and anything you add in a free-text field.
  • Correspondence: the content of messages you send us and our replies.
  • Technical and usage data: information such as your approximate location, device and browser type, and how you use the site, collected through analytics (see Section 6).
  • Source data: the page you arrived from, referral information, and campaign parameters that help us understand how you found ScholarBridge.

We do not collect payment-card information through this website. Please do not send us medical, financial, or other sensitive information unless a form specifically asks for it and explains why it is needed.

4. How we collect it

We collect information directly from you when you submit the enquiry form, complete an application, book a consultation, or email us. We also collect technical and usage data automatically through cookies and similar technologies, as described in our Cookie Policy.

5. Why we use it, and our legal bases

We use your information to respond to enquiries, assess programme suitability and mentor matching, deliver and administer programmes, communicate with you, meet our safeguarding and legal obligations, and keep proper business records. Where UK or EU data-protection law applies, we rely on one or more of the following legal bases:

  • Consent, for example when you ask us to send you programme information, or a parent or guardian consents on a student's behalf. You can withdraw consent at any time.
  • Performance of a contract, or steps taken at your request before entering one, to deliver a programme.
  • Legitimate interests, such as understanding how our site is used and keeping records, provided these do not override your rights.
  • Legal obligation, including our safeguarding responsibilities.

We do not sell or rent your personal information, and we do not share it with third parties for their own marketing.

6. Cookies and analytics

We use Google Analytics to understand how the site is used. This sets cookies on your device. Embedded services, such as the Tally application form and Cal.com scheduling, may set their own cookies or storage when you interact with them. 7. Who we share it with

We share personal information only with service providers who help us run ScholarBridge, and only so they can perform that service for us. These include:

  • Cloudflare, which hosts the website and processes requests.
  • Google Analytics, for website usage measurement.
  • Airtable, where enquiry and admissions records are stored.
  • Resend, which delivers our emails to you and internal notifications to us.
  • Tally, which powers our application forms.
  • Cal.com, which powers consultation scheduling.
  • Google Fonts, which serves typography and may receive your device's IP address to do so.

We may also disclose information where we are required to by law, or where it is necessary to protect the safety of a young person, as set out in our Safeguarding & Child Protection Policy.

8. International data transfers

ScholarBridge is based in the United States, and several of the providers above process data in the United States and other countries. This means that if you are in the United Kingdom, the European Economic Area, or elsewhere, your information may be transferred to and processed in a country with different data-protection laws from your own. Where personal information is transferred internationally, we take steps to see that it remains protected in line with this policy and applicable law, including relying on the transfer safeguards our providers put in place.

9. How long we keep it

We keep enquiry, application, and programme records only for as long as is reasonably necessary for the purposes above, including admissions, safeguarding, delivering our services, meeting legal obligations, and keeping legitimate business records. When information is no longer needed, we delete it or anonymise it. We will action deletion requests except where we are required to retain certain records.

10. How we protect it

We use appropriate technical and organisational measures to protect personal information, and we choose service providers that maintain their own security standards. No method of transmission or storage is completely secure, but we work to protect your information and to limit access to those who need it.

11. Your rights

Depending on where you live, you have rights over your personal information. We honour these rights for all our users regardless of location.

If you are in the United Kingdom or the European Economic Area, you have the right to access, correct, delete, restrict, or object to our use of your information, to data portability, and to withdraw consent. You also have the right to complain to a supervisory authority, such as the UK Information Commissioner's Office (ICO).

If you are in the United States, depending on your state you may have the right to know what personal information we hold, to access or delete it, to correct it, and to opt out of any sale or sharing of it. We do not sell your personal information. You will not be treated differently for exercising these rights, and you may complain to your state authority.

To exercise any right, contact us at hello@scholarbridge.uk. We may need to verify your identity, and for a student under 18 we will normally work with the parent or guardian.

12. Changes to this policy

We may update this policy from time to time. The date at the top of this page reflects the most recent revision. Continued use of the site after a change constitutes acceptance of the updated policy.
